We provide an online admission form management system for schools and educational institutions.

When a parent/guardian submits an admission form, the following data is collected on behalf of the school:

Student's name, date of birth, gender
Parent/guardian names, education, occupation, mobile numbers
Address details (current and permanent)
Aadhaar number (optional, stored encrypted)
Caste, religion, nationality, mother tongue
Student photograph and supporting documents (birth certificate, address proof)
Email address (optional)
Device IP address and browser information (for security)

For school staff accounts, we collect: name, username, and role.

3. Why We Collect This Data

To process and manage school admission applications
To generate PDF admission forms (eForms)
To send SMS confirmation to parents upon form submission
To enable schools to review, approve, or reject applications
To detect and prevent duplicate submissions
To generate reports and analytics for the school

4. Who Can Access the Data

Student data is accessible only to:

Authorized staff of the respective school (admin, editor, viewer roles)
Admission.at system administrators (for technical support only)

We do not sell, rent, or share personal data with any third party.

5. Data Security

Aadhaar numbers are stored using AES-256 encryption
All data is transmitted over HTTPS (SSL/TLS encryption)
Passwords are hashed using bcrypt
Access is restricted by role-based permissions
Regular backups are maintained

6. Data Storage and Retention

Data is stored on servers located in India. We retain student application data for as long as the school's account is active. Schools may request deletion of specific records or their entire account data at any time.

Under the Digital Personal Data Protection Act (DPDPA) 2023, you have the right to:

Access your personal data held by us
Request correction of inaccurate data
Request deletion of your data
Withdraw consent for data processing
